About South Coast Summit

South Coast Summit is a two-day event for IT professionals and end users, working with Microsoft technology.

South Coast Summit focuses on all key pillars of the Microsoft ecosystem: Business Applications, Modern Work, Security & Compliance, through to Microsoft Azure.

South Coast Summit follows a similar structure to other IT conferences and Microsoft events such as Microsoft Ignite and Future Decoded; with sessions delivered by subject matter experts from Microsoft, Microsoft MVPs, and Microsoft Partners. expert speakers, and a large exhibition of sponsors’ associated products and services.

The problems faced by South Coast Summit

In previous years, South Coast Summit used Eventbrite for their attendee registration. This solution was fantastic for ticket registration but left the organizers to find other solutions for their onsite check-in, badge printing, and exhibitor lead generation.

Originally South Coast Summit solved these problems by pre-printing attendee badges at a local print shop. For exhibitor lead generation, they worked around this problem by sharing all their attendee list with each exhibitor and leaving them to capture leads on their stand in their own way.

In subsequent years, South Coast Summit improved their onsite check-in experience for their attendees by hiring an event badge printing company who managed their onsite check-in.
Event & workshop tickets
The event organized several workshops plus conference which required separate Eventbrite events that required multiple registrations.
Delayed ticket revenue receipt
Eventbrite pays their ticket revenue weekly but withholds 20% until after the event. Revenue the event needed to hold their conference.
High service charges
Eventbrite charges 6.95% plus 0.59p of the ticket price for each ticket sold which put pressure on this not for profit organization.
External badge printing
The event hired external badge priting company with their own software which cost over $10K in addition to the cost of Eventbrite.
Attendee check-in delays
Attendees registering on arrival or who had issues had to wait up to 15-minutes for badge printing software to sync with Eventbrite.
No lead capture tool for exhibitors
The event created their own app that allowed exhibitors to scan badges.
However, this required regular manual data imports.
Multiple apps to navigate
Attendees had to use Eventbrite for their ticket, Sessionize for accessing their agenda, and exhibitors had to use another app for lead scanning.
Time consuming for organizers
Keeping all systems in sync and answering support questions on where to find information consumed far too many organizing
hours.

How South Coast Summit solved their problems by using Just Attend

South Coast Summit approached Just Attend to help them with their attendee registration, badge printing, agenda following, and lead generation needs. Their main priority was to improve the overall attendee satisfaction of the event and reduce the administration burden they’ve faced for years handling multiple software systems with poor integration.

They wanted a single system that allowed them to sell tickets to multiple workshops without the attendee having to register for several independent events. They also wanted the attendee to access all the conference content available and enable exhibitors to scan attendee badges to generate leads.

Ticket sales and event registration

South Coast Summit were able to create multiple ticket types within the same event, each with a different cost so that the attendee simply had to choose the tickets they wanted to buy and register / pay once.

This greatly improved the registration experience for their attendees which led to higher conversions and faster sell outs.

Attendees were able to access their ticket from the event platform and mobile app to see what each ticket entitled them to.

Faster access to ticket revenue

Unlike Eventbrite, Just Attend doesn’t withhold South Coast Summit’s revenue. Instead, Just Attend integrates directly with their business Stripe account so they receive their ticket revenue immediately.

Stripe can be set to payout daily and funds are received within 3 working days into the business account. Unlike Eventbrite who will payout weekly with funds being received 7 days after.

Stripe also charges 1.5% plus 20p per ticket sale compared to Eventbrite’s 6.95% plus 59p.

This allowed South Coast Summit to earn $4.05 (£3.12p) more per ticket than using Eventbrite.

Session agenda displays around venue

South Coast Summit also used the Just Attend mobile app so that attendees could search through the content agenda and add sessions they wanted to attend to their personal list.

The mobile app also allowed attendees to access their ticket which helped with the check-in process and connect with fellow attendees.

In addition, South Coast Summit used the live agenda digital wallboards to display sessions scheduled in each room on displays outside each seminar room. This made it easy for attendees to see what is going on at any time even if they didn’t have the mobile app installed.

Onsite badge printing service

South Coast Summit chose Just Attend’s managed onsite badge printing and check-in service.

Just Attend arrived onsite the day before to setup the registration desks and equipment.

On the event day, Just Attend’s staff managed the entire check-in process on behalf of the Organizers.

On average the system checked in 49 attendees per hour with a maximum of 224 in a single hour which 1 badge printed every 6.3 seconds.

Attendees loved being able to walk up to the kiosks to scan their ticket and walk away with their badge in seconds.

Mobile app for exhibitor lead generation

Using the multi-functional event mobile app registered exhibitor staff could use their personal mobile device to login and automatically access the lead scan feature.

By using nothing more than their phone camera, they could scan an attendee’s badge to trigger a lead record.

The exhibitor admin can also add their own lead qualification questionnaire their staff need to complete whilst saving a lead.

At the end of South Coast Summit, exhibitors could export their generated leads from the platform to nurture post event.
