If you are a customer on a per-event plan or you need badge printing only services, you'll need to hire the equipment using our normal hire rates.
Limitations
This offer is limited to a maximum of 5 kiosks per event. 5 kiosks can check-in and print approximately 1,125 people per hour, or roughly 1,500 to 2,500 attendee sized events. For events requiring more than 5 kiosks, you'll need to hire the additional kiosk units at the normal hire rate. This is because we will need to augment our own hardware stock with sub-hired equipment from our global rental partner.
Currently we are able to support events based in the following countries & regions:
We are able to support other countries and regions including Asia and Australia, however, these areas are serviced by our hardware rental partner. As a result, we're unable to offer the free rental service to customers in these areas at the moment.
Customs
Where possible we aim to service customers with in-country stock, of which no Customs duty is applied. If your event is being supplied using out of country equipment, for instance crossing EU borders, we handle all Customs paperwork for you.
When we ship our equipment they are exported on a temporary export license. This tells Customs the equipment is not being sold into the destination and will be returning.
In any case, we ship our equipment using DDP (Delivery Duty Paid) classification. This means we are responsible for any Customs duties and taxes applied and this will not affect the delivery of the equipment to you and you won't need to deal with any Customs paperwork or clearance requests.
Security Deposit or Insurance Protection
As you can appreciate, the equipment is expensive and as a result we must ensure that it is adequately protected. When booking your equipment you'll be required to insure it whilst in your care. You can do this in one of 2 ways:
Late Returns
When booking the service, we will arrange the collection of the kiosks from the delivery address. If the kiosks cannot be collected because they're inaccessible, a $150 per day late collection fee will be applied.
When you have booked your badge printing service we will prepare the equipment for shipping. The equipment will be packed into custom built flight cases that are padded and molded specifically for the hardware so they're properly protected.
The cases are secured using a combination lock which you'll be informed of once the kiosks have been collected.
We ship to one address only. This can be your venue which is usually the destination of choice, or we can ship to a nominated address, e.g. your office.
When dispatching to your venue we will contact them in advance to give them notice and to find out if there are any delivery restriction we need to adhere to. When dispatching we will schedule the shipment to arrive up to 48 hours prior to your event start date. This helps mitigate any unforeseen issues in the shipping process, e.g. customs clearance delays.
Returns
All shipments contain a returns label. The returns label will be pre-printed along with its accompanying paperwork and sent inside the case. As a result, it is not possible to change the pickup address from the original shipping address provided with the booking. Therefore, if you requested the kiosks to be delivered to your office, you must bring the equipment back to your office to be collected by our courier.
Courier Service
We ship our equipment exclusively using DHL. Where service availability permits shipping is always booked on the fastest service possible. For shipments to UK and Europe we are able to ship next day pre-12pm. For USA shipments, we can ship next day by end of the day to 48 hours depending on the dispatch location and destination.
The equipment will arrive in custom made flight cases that can be wheeled like a suitcase. They are heavy and can range from 15 to 25KG depending on their contents. We ship in the least number of cases / boxes possible to keep the shipping costs down for you.
All the equipment inside will have been pre-configured for your event. This includes the installation of the printing software, print driver settings for the badge media you've selected, and the configuration needed to print your badge styles.
The equipment will have been serviced, fully tested, and sanitized before they were placed in their cases ensuring you have an 'as new' experience and the hardware is in full working order.
Inside the case will be a document pack. In that pack will include detailed step by step instructions, with pictures on how to setup the equipment. Don't worry it isn't complicated. If you've installed your home printer using a USB cable, then you already have the skills you need to do this. Even if you haven't, our guide is very thorough anyone of any ability can follow it.
If you do encounter difficulties in setting up the equipment you can call our technicians who can talk you through the process via video call. You can contact them using WhatsApp and use your phone camera to show them what you need help with. Alternatively, if the problem is software related, they can remote control all the laptops or tablets used.
We can provide onsite support staff at your event. This is a great way to augment your team with the safe knowledge that should anything go wrong, someone is there to help them out instantly.
Our technician will setup all the equipment, test it, train your staff, and remain onsite during your event to assist with any issues. They can also act as a member of your check-in team as well.
This service is an additional cost and will be quoted based on your needs and event venue location. Please chat with your customer success manager about this for more information.
This is a worry many of our customers have initially. However, you don't need to be worried. When we receive your badge design we will estimate the number of ink cartridge sets you'll need based on the design's color usage and number of badges expected to be printed.
That said we always ship one additional spare set of inks just in case. If these inks aren't used they should be returned.
For badge labels we sell these in boxes of 500. Each printer will require its own box of labels. When ordering we will ship the nearest whole box of labels to your maximum number of prints + 15%. That means if you have 2 printers and are expecting to print 900 attendee badges (900 +15% = 1,035), we will ship you 3 boxes of badges.
In short, you'll never run short!
Our kiosks are extremely reliable and it is very unlikely that any problems will occur when in use. However, should there be an issue, our technicians are on hand to connect remotely to them to diagnose and resolve any issues.
