When renting a badge printing kiosk you have 4 primary costs:
The cost of the software is spread over your event. We offer transparent pricing for our kiosk rental. The rental cost of the kiosk hardware is $450 per kiosk per event. This provides you with a tablet or laptop, a USB QR code scanner, and an Epson C3500 event badge printer.
The cost of consumables and shipping will depend on how many badges need printing, how color intensive they are, and where your event is located.
We price these up for you based on the best rates we can find for the volume and weight being shipped. When we are shipping multiple kiosks we engage with our shipping company to obtain preferential rates.
Badge printing is a very popular service because we are so good at it! Booking well in advance guarantees availability for your dates. However, we usually say that we need at least 14 days before your event in order to have everything arranged.
If your event is less than 14 days away, please call us to discuss, we may still be able to help you.
How many you need depends on 2 very important factors:
You'll need to base your rental on these numbers to determine how many kiosks you need to avoid excessive queues when you need them the least!
Many badge printing providers, including us will say our technology can print a badge in 5-seconds. But what doesn't take into account is the human interaction time. People who are not ready to scan their ticket increases the amount of time they are taking up in front of a kiosk when it could otherwise be working.
Based on our own event intelligence we work on a factor of 3.85 people per minute per kiosk.
You can use this factor to calculate how many badge printing kiosks you need.
For example:
You're expecting 1,000 people to arrive between 8am and 9am on the first day of your event.
(1000 people / 60 minutes)/3.85 performance factor = 4.32. - so you would need 4 kiosks.
You're expecting 400 people to arrive between 8am and 8:30am on the first day of your event.
(600 people / 30 minutes)/3.85 performance factor = 5.19 - so you would need 5 kiosks.
We will always recommend the number of kiosks we think you need in order for a successful and stress-free event check-in. Sometimes you don't have the budget for it and that's OK.
You can rent less kiosks that we recommend, but remember that this may mean longer queue times and a more stressful experience for you and your attendees by doing so.
You can alleviate some of the demand by pre-printing badges for people like exhibitors, speakers, and staff to offset some of the demand come check-in time.
Our standard event badge stock is 4 x 6" dual sided printed with pre-perforations for single and dual clip lanyards.
We also can provide 4 x 3" dual sided printed badges.
Our standard stock is heavyweight card which is made from 100% FSC recycled paper and is fully recyclable with zero plastic. We can offer a premium event badge that is tear resistant in both 4 x 6" and 4 x 3" sizes.
We do not support badge labels not supplied by us in any of our rented packages.
We are unable to provide badge printing for you if you require PVC card badges, although you can use our software to perform the check-in functionality.
