If you have two hours between doors opening and your keynote, you’ll need fewer kiosks than if you have only one hour or less — that timing makes a big difference.

Once you’ve estimated how many people will arrive during your busiest period, you can determine how many attendees each kiosk can realistically process per minute. Keep in mind that not everyone will be fully prepared — some may not have their ticket ready or may enter incorrect information, which can slow things down.

On average, a well organized check in team can process 3.85 to 4 attendees per minute per kiosk.

With this information, you can calculate your required number of kiosks using this formula:

(80% of your total attendees ÷ available check in minutes) ÷ average check ins per minute = kiosks needed

Example:
For 1,000 attendees with 30 minutes to check in:
(800 ÷ 30) ÷ 3.85 = 7 kiosks (rounded up)

Our “from” price includes all one time setup and delivery costs for event badge printing. This covers:

  • Software license and configuration

  • Delivery to your venue

  • Onsite setup

  • Post event collection

  • All required materials to run your check in (ink, badges, and printer accessories)

If you need to add another kiosk, additional rates apply as follows:

  • Additional kiosk bundle (printer, laptop, QR code reader): £305

  • Additional set of inks and ink waste box: £120

If you’re printing fewer than 500 badges (including reprints), you can share the materials from your initial order with the extra kiosk. If you expect more than that, you’ll need an additional box of 4 x 6 inch event badge labels for £135

If you’ve purchased the base rental package for £1,200 and add one kiosk, your total would be:

  • £1,200 +£425 = £1,760 without another box of badges

  • £1,200 + £560 = £1,895 with another box of badges

If your event runs for more than one day, additional staffing is £350 per staff member per day, inclusive of all travel costs.
